How to assess an industrial supplier’s capabilities

Distinguish three levels of information

A commercial claim describes what the supplier says it can do. Documentary evidence may support part of that claim within a stated scope and period of validity. Technical assessment checks suitability for a specific requirement. These are different levels of assurance.

Record where information comes from and what still needs checking. Where a certificate is provided, check the entity, scope, covered facilities and validity through the issuer or available verification channels. Do not assume that certification covers every product or process.

Connect resources with requirements

Ask about the processes and equipment relevant to the work, rather than the overall size of the factory. A machine list alone does not demonstrate the ability to achieve a tolerance or meet a deadline.

Examine experience with similar materials and applications, outsourced operations, change control and available documentation. Seek clarification where an answer does not explain how a requirement will be met.

Separate technical capability from availability

Confirm whether quantity, production rate and dates fit the supplier’s planning. Identify dependencies on materials, tooling, tests or subcontractors. Record assumptions behind the proposed lead time.

A sample can help assess a solution, but does not automatically demonstrate consistency over recurring production. Verification should be proportionate to risk, application criticality and relevant requirements.

A simple assessment record

The checklist organises information; it does not replace testing, audits or applicable legal requirements. Involve people with the technical competence to assess critical points.

• Requirement: what needs to be demonstrated?
• Claim: what does the supplier state?
• Evidence: which document, sample or observation supports it?
• Gap: what still needs confirmation, and by whom?
• Decision: proceed, seek clarification or exclude, with a recorded reason.
