Start with the requirement and application

Explain the product’s function, its operating environment and the requirements that cannot change. Separate these from negotiable preferences. An early drawing can help, provided its revision and any provisional dimensions are identified.

Record materials, finish, prototype quantity, expected volumes and delivery location. If the manufacturing process is undecided, describe the intended result and ask potential suppliers to explain their proposed approach.

Identify the kind of supplier you need

A manufacturer with its own production, a raw-material distributor and a company coordinating subcontractors serve different needs. Ask who performs each operation and who takes responsibility for quality and delivery.

Search using a combination of process, material and application. Location may matter for transport, visits or support, but it does not establish technical suitability. Consider both capability and available capacity for your intended volume.

Create a comparable shortlist

Send the same brief to a limited set of candidates and record their answers. Distinguish declared capabilities, evidence received and points still requiring checks. A directory listing or catalogue is a starting point, not a technical approval.

  • Have they made something with similar requirements? Can they share an authorised example?
  • Which operations are performed in-house and which are subcontracted?
  • What information is missing to confirm feasibility, lead time and minimum quantity?
  • How would they assess the first sample and manage changes?

Hypothetical example: a small batch of metal parts

A company needs 80 metal brackets to test a new piece of equipment. Instead of asking only for “the best price”, it supplies the application, a preliminary drawing, the intended material, the required date and the points needing validation.

One candidate may propose cutting and bending; another may identify a useful geometry change. The company compares feasibility, total cost, timing and technical evidence before choosing. This is an illustrative example, not an InSouto customer case.
